You cannot delete a member in MemNet.
The effect of archiving a Member is to mark the Member record and its details in such a way that by default it will be excluded from all searches. The purpose of this is to avoid you having to work through a list of members that are not current.
Other items of note regarding archived members are:
- You can Archive a Member that has an outstanding balance. Archiving a member with an outstanding balance will maintain the amount owing against the membership. Whilst it is possible to receipt money against an archived member, the fact that they are being archived suggests you will not be receiving these funds from them. Depending on your accounting processes you may want to go and create and allocate a credit note against this members' outstanding invoice(s) to bring their account balance to zero before archiving them. You may also want to consider stopping any active subscriptions the member has. Doing so will create a record that the member stopped paying at this time and will prevent the member being over billed if/when they are reinstated (see below).
- They are automatically updated to have a status of Inactive.
- Information is not deleted, it is retained and you can re-instate a member at any time.
- You can explicitly include archived members in searches if you so wish, by default they are excluded.
