Go to Administration>Accounting>Raise Subscriptions Page.
This page is designed as a step-by-step wizard.
- Select Subscriptions
Select the subscription(s) you wish to process by either selecting a Subscription Group or an individual Subscription code. Optionally you can limit the processing to an individual member (enter a Member Code) or group of members by selecting a Branch (when activated) or members who pay by a particular method. Click 'List Subscription Codes' button.
- Subscriptions List
This page displays a list of subscription codes that match the criteria entered in step 1. You may exclude an individual subscription code from the processing by un-checking the checkbox next to that subscription code. Click 'Accept Subscription Codes' button.
- Select Dates
The entered date range is used to select the members who's subscription will be processed, if a member has the selected subscription and their subscribed until date for that subscription is within the range entered, their subscription will be processed. Click on the 'Prepare' Button.
- Review
This step displays a summary of the subscriptions to be raised in a grid by subscription code and subscription type. NB. This process will only return Active members with Active subscriptions. If these numbers appear wrong, you can cancel out of the process and correct any errors before repeating the process. If they are correct, click 'Generate' button.
- Finish
You will receive a confirmation message of the number of subscriptions raised. These raised subscriptions have been created as Pending Transactions. You will need to process the pending transactions for the documents to be distributed. Click 'Go To Pending Transactions' button.
- Processing Pending Transactions
Select the transaction type for the type of transaction you wish to process (if there is only one type available this will be greyed out). The Pending Transaction page provides an overview of the Transactions to be processed. The pending transactions may be exported to Excel for offline review or archiving. If errors are found, subscription type pending transactions may be deleted and recreated once any errors have been corrected. If all is in order click "Process Pending Transactions". See documents required (this still creates a debt against the members account) and click generate. Once complete, click on document distribution to move to the distribution screen to send or print the documents created (if the no documents required option has not been selected). Select how you want the document delivered to members; by their correspondence preference, post, or do not distribute
