When using renewal invitations an invoice is raised against the member as part of the process to record the payment. If using subscription invoices and payment is received before the invoice has been created, then this same process can be used.
- Locate the member who has made the payment and click the Manage Transactions button.
- Go to the Create Manual Transaction tab
- Select the Transaction Type of Renewal Invitation (or Subscription for invoices), a list of the member's subscriptions will be displayed
- Select the subscription(s) the member is paying. This pre-fills the invoice screen with the appropriate invoice details. You can modify the invoice details such as Document Date and the Due Date if you wish. Click Create Transaction to generate the invoice to be paid
- A pop-up window will appear informing you of the new subscribed until date that will be given to the selected member subscription(s), click Yes to confirm, or No if the details are incorrect.
- The payment screen is displayed pre-filled with the details just produced. Enter the particulars of the payment and click Pay
Note:
- If you wish to issue the invoice to the member rather than recording a payment against it, then skip the final step (step 6), instead click on the invoice that is created and use the button at the top right to print or email the invoice to the member.
- If the renew subscription feature is enabled within the member self-service module members can renew their subscription before an invoice or renewal notice has been raised. A setting is available (Administration / System Configuration / Company Settings / Self Service / Options enter the number of days before the renewal is due that it can be renewed) to limit how far into the future the member can renew.
- When a discount for on-time payment has been enabled, the subscription will be presented with a choice of 2 lines; the full amount and the discount amount identified with a
. Use the discount amount if the payment is received before the due date. The discount is automatically applied when payment is made online before the due date.
