You can create event invites and send them to people in your database via email. A unique link is generated per person per event and can be embedded in an email distribution sent from MemNet.
When the recipient clicks on the link, they will be taken to a page that automatically recognises who they are (they do not need to login), which event they are booking and, based on the event invite rules, how far into the event booking process they need to go. This allows unnecessary steps to be skipped, further streamlining the booking process.
Event Rules
Depending on your settings below, the person will have certain booking details pre-populated when they enter the event booking process.
New event Invite Rules are created by clicking the New Rule button on the Invite Rules tab within the event you want the rule created for. A Basic rule is created by default, this will identify the user and take them to the beginning of the event booking process.
Options for Event Invites are:
- Active/Inactive, to inactivate an invite rule
- Rule Name (required)
- Limit the rule to a particular registration type (or all)
- If options are available on the event, are they skipped?
- Can the booker choose the number of tickets to be purchased or is this number pre-set?
- If the number is pre-set, can they change it? They can only book a single ticket if this is true and the number is preset to 1.
- Can not change the first attendee's name. If this is true, then the person who received the invite must be included in the booking.
- Skip collecting [Additional] attendee details.
- If One Time Use is enabled, the invite can not be used more than once.
- An expiry, as a number of days after it is sent, can be set for the invite.
- Instructional text can be provided that is displayed when the invite link is clicked.
Sending Event Invite links
Once you have saved the event link, you can use this link in any of your email templates or distributions. The invite link can be sent to individuals, or groups of people via the Email tab within an event or from Main Generation.
Note: there are 2 types of event link merge fields; a generic link, which looks like http://[EVENTINVITELINK] that requires the specific event to be selected at the time the distribution is sent and is limited to one event per email OR event specific links which look like http://[MULTIEVENTINVITE_1] (A different number is used for each event) and allow multiple event invites to be used in the same communication. This is useful for newsletters or other emails promoting multiple of your events.
How to insert an Event Invite link differs depending on the email editor and type of link being used
Simple Editor
To insert the generic Event Invite link into the email using the Simple Editor, choose Event Invite Link from the Insert Event Field drop-down list and click Insert. If you have selected text before inserting the link, the link will be applied to the selected text, if not, you will be asked to enter the text to be linked. Ensure the event invite drop down is set to None.
To insert an event specific Event Invite link, follow the same procedure but first select the specific Event Invite link you want from the drop down above the Insert Field drop down. This specific link will be used rather than the generic Event Invite link.
Pro Editor
When using the pro editor, you will find the Event Invite Links under Special Links when editing text and on the settings for the button content type. The Special Links in the Pro editor or grouped, expanding the Event group you will find the [Generic] Event Invite Link plus an Event Invite link for all invite rules for each of the open events in the future.
An Extra Tip: See here we have used the Event Name merge field to label the button!
See Pro Editor Tips for more details.
